The Executive Assistant (EA) will offer outstanding administrative backing to our Executive Director.
As the primary liaison for the Executive Director, the EA will handle multifaceted daily operations, offer project support, and foster efficient agency progression.
Being an integral component of our executive assembly, this role necessitates interacting with various departments, ensuring that you're not just an essential part of our executive circle but also a trusted ally across the board.
Responsibilities As an Executive Assistant, you will offer unparalleled administrative support to our Executive Director, acting as the foremost contact point.
Your duties will involve:
Navigating the intricate needs of daily agency operations and project support.
Collaboratively engaging with Health Link's executive team, significantly influencing our progression.
Becoming not just a pivotal component of the executive team but also a trusted ally to various departments within our agency.
Schedule Management & Administration Exercise judgment and prioritize complex schedules and tasks accordingly Anticipate future needs and problems with regards to scheduling, communication and support; effectively meet deadlines through multi-tasking, prioritizing and delegating Manage and reconcile payroll reports Successfully run day to day tasks and operations, which may include but are not limited to:
Phone, email and mail correspondence Contacts and electronic paper files Organizational charts Communication Speak on behalf of and represent the Executive Director in conversations and meetings in leader's absence using a high level of diplomacy, judgment with autonomy as needed Regularly handle sensitive information in a discrete and confidential manner Use knowledge to accurately communicate and collaborate with operational departments or team members at all levels As requested, draft communications on behalf of and in the style of the Executive Director Build and/or assemble presentations to communicate strategies and initiatives Create and support a friendly professional atmosphere within the team and department Establish positive rapport with other co-workers Take on advisory and advocate role within team, providing support to other managers Projects Project manage initiatives, programs and one-off projects as needed in support of goals and assignments Participate in the hiring process as needed Provide leadership, assistance with training, and mentorship within the assistant community; provide backup for assistant positions across the department or studio when necessary Skills Superior interpersonal skills and baseline emotional intelligence in both written and verbal communication Ability to make others comfortable and at ease Ability to maintain composure in high pressure situations and effectively read the room Strong organizational skills and attention to detail High levels of trust, customer service, professionalism, punctuality and reliability Consistent and regular follow through on all requests Initiative to learn new skills, agency procedures, and pipeline through self and agency education Requirements 5

Estimated Salary: $20 to $28 per hour based on qualifications.
