In this critical role, you'll be the first point of contact for clients and visitors upon their arrival at our office.
This position will provide extensive support to the Finance & Admin Manager and will also assist with diverse office-related tasks as needed.

Your responsibilities will encompass overseeing various office duties, performing data entry tasks, operating standard office equipment, and upholding strict confidentiality standards.
In this role, you will serve as the primary point of contact for answering phone calls with a strong emphasis on professionalism, and you will excel in the crucial task of evaluating and qualifying leads for the sales team.
Additionally, you will have the chance to leverage your exceptional time management abilities to effectively manage multiple tasks and prioritize work.
Must be able to commute to the Walnut Creek location daily.

Assess incoming leads and gather all essential information required for the sales team to initiate follow-up procedures or refer to the Handy Neighbor team.
Effectively manage and respond to all emails received in the primary info email inbox within one business day.
Gather daily mail and deliveries and distribute them to the respective recipients Assist in qualifying new subcontractors, suppliers, and vendors (Trade Partners) to ensure they provide all required credentials (W9, Insurance, License, and certifications, etc.
) Maintain oversight of the ongoing compliance of existing Trade Partners on a weekly, monthly, and annual schedule.
After receiving appropriate training, support the accounts payable process Maintain the office and kitchen in excellent condition, ensuring they are well-stocked.
Additionally, oversee inventory and place orders for all office supplies Supervise tenant/landlord interactions, including handling maintenance requests, janitorial concerns, and related matters.
Assist in supervising the routine maintenance of the fleet vehicles and equipment.
As needed coordinate travel arrangements for designated team members, including managing flight and hotel bookings and generating detailed itineraries.
Oversee and monitor all insurance policies, vehicle registrations, and various licenses for New Key Construction and its affiliated companies.
Monitor inventory levels and supervise the acquisition of branded apparel.
Coordinate company team-building events and community outreach initiatives.
Offer administrative support to other managers and the CEO as instructed by your direct supervisor.
Attend team meetings as required Key Skills & Experience A minimum of four (4) years of experience as an administrative professional, demonstrating a strong expertise in handling phone calls and lead qualification.
Advanced computer skills including advanced knowledge of GSuite and Microsoft Office Suite.
Ability to prioritize and organize complex, confidential, time sensitive tasks and display exceptional project management skills.
Meticulous attention to detail and a high level of accuracy.
Preference will be given to candidates with prior experience in an administrative assistant role within a construction-related field.
Experience with QuickBooks is preferred.
Must be able to type at least 40 WPM accurately (certificate will be requested) Ability to demonstrate independent judgment, initiative, and common sense in problem-solving and making recommendations.
