We are seeking a talented and experienced Executive Assistant to join our team.
What you'll do in this position:
Develop and maintain strong relationships with high-net-worth individuals and family offices.
Manage client relationships on a day-to-day basis, ensuring responsive and proactive communication.
Provide ongoing communication and reporting to clients as requested.
Assist with the organization of investor relations events and initiatives.
Carefully and thoughtfully address client questions and concerns, even during sensitive situations such as estate matters upon death.
Prepare personalized updates for individual clients, analyzing their investment history and returns for the CEO.
Track progress on investment raises, monitoring commitments, receipts, and overall success Organize and disseminate accurate investment information to custodians, verifying details like note names, maturities, and values.
Manage the relationship between Coit Financial Group and the custodian.
Manage the receipt, storage, and tracking of subscription documents for new investments and investors.
Oversee the progress of investment raises, monitoring commitments, receipts, and overall success.
Prepare and send out ballots, ensuring all paperwork is returned as note changes occur.
This position will be an in-office role located in downtown Walnut Creek, CA.
Must be available five days per week (Monday-Friday) during regular business hours.
Qualifications:
Must haves:
Positive attitude 10
years of experience in investment relations, portfolio management, or executive assistance to C-level executives at major financial institutions.
Demonstrated success managing high-net-worth client relationships.
Exceptional communication skills, both written and verbal, with a focus on clear and concise communication.
Impeccable organizational skills and a meticulous attention to detail.
Unwavering discretion, professionalism, and ethical conduct.
Resourceful and proactive problem solver with the ability to anticipate client needs and offer solutions.
Proficiency in Microsoft Office Suite and relevant investment management software.
Thrives in a fast-paced, dynamic environment and manages complex schedules efficiently with minimal supervision.

Compensation:
The compensation range for this role is $140,000 - $170,000 / year based on the current market and level of experience.
